Three documents matter

A rental agreement, a GST invoice for each billing period, and a handover note listing what actually arrived. Together they cover the deal itself and what your finance team needs.

What a rental agreement should state

  • Units and exact model: How many machines and what model, so "matched batch" means something enforceable.
  • Period and extension: Start and end dates, and how an extension is handled before you need one.
  • Condition: State at handover and what constitutes fair wear, so the return is not a negotiation.
  • Liability and damage: Who carries the risk for loss or damage, and what the process is.
  • Support and replacement: Scope being confirmed, worth having in the document rather than in an email.
  • Return and data: How machines are collected and how they are wiped, process being documented.

How tax applies to equipment rental

In India, renting equipment counts as a service. So GST applies to the rental charge and shows on the invoice. How your business treats that tax depends on your own position. That is the bit your finance team will want to check.

We deliberately do not print a rate here. Rates and classifications change, and a stale number on a website is worse than none. Ask for the applicable rate on your quote, where it will be current.

Your invoice should show all of this:

  • Our GST number, and yours
  • Your business name
  • The rental dates and how many machines
  • The amount, with tax shown separately
  • An invoice number your accounts team can quote

What we ask from you

Business rentals need KYC and company documentation, and the exact list is being confirmed. A deposit depends on units and period.

Start the paperwork early. On a big order, it holds things up more often than stock does. If the machines are needed for a start date, begin the paperwork alongside the quote rather than after it.
