Match the rental to the contract, not the calendar

Rent for the length of the contract, scale the count as your team changes, and hand the machines back at the end. Because the units never enter your company asset list, offboarding a contractor becomes a collection rather than an asset-recovery exercise.

Contract and augmented teams are the cleanest case for rental precisely because the end date is written down somewhere before the work starts.

Order for the ramp, not the peak

Contract teams rarely start at full strength. If the plan is 20 people over three months, ordering 20 machines on day one means paying for idle hardware while recruitment catches up.

The better shape is to order the confirmed starters, then add units as people are onboarded. That only works if your supplier can match later additions to the original batch, which is worth asking before you commit, not after.

One exception: if matched units are hard to source at your spec, ordering the full count up front protects consistency. Ask which situation you are in.

Aligning the term with the contract

Two traps. Renting month-to-month on a project you know will run six months usually costs more than a term that matches. And renting for exactly the contract length leaves no margin when the contract extends, which happens more often than it doesn't.

Period options and minimums are being confirmed. What matters is asking how an extension is handled before you need one, because a mid-rental extension arranged calmly is very different from one arranged the week machines are due back.

The offboarding question

Contractor machines accumulate client data, credentials and source code, and they leave your control at the end of the engagement. For most security teams this is the main objection to rental, and it is a fair one.

Two things to settle at the start: how the device is wiped on return, and whether you get a record of it. Our process is being documented; ask for it in writing if your audit requires evidence rather than assurance.
