A batch is a planning job, not a bigger transaction

Bulk rental means matched units delivered together, on notice, with one point of contact. The difference from renting one laptop is not the price. It is that matching, imaging, access and timing all have to be planned rather than assumed.

Knowing that in advance is what separates a delivery that takes a morning from one that takes a week.

The notice window

Small batches often go same-day. Beyond a threshold, they cannot, and any rental company that says otherwise is either holding far more stock than it needs or about to disappoint you.

For 15 or more units we ask for notice, because the batch has to be pulled from stock, checked, matched on model and spec, loaded with your software, and scheduled as one delivery. Same-day within the radius still applies for orders before our daily cut-off where the count allows it.

Matching the units

Matching means the same model and exact model across the batch. It matters for three concrete reasons: your build image deploys once instead of per-variant, IT supports one machine rather than a matrix, and nobody on the team gets the slow one.

If the full count cannot be matched in one model, you should be told at quote stage, not on delivery morning. That is the single most useful question to ask any rental supplier: can you match all of them, and what happens if you cannot?

Deployment day

  • Access first: Gate passes, lift access and security clearance. In OMR and Guindy tech parks this takes longer than the drive.
  • Staging: Where the machines land. Desks, a store room, or a training room laid out in advance.
  • Setup: Within our delivery area, machines are set up and tested rather than left boxed.
  • Handover: A count confirmed against the order, so there is no dispute about what arrived.

During the rental, and the end of it

Support. Scope is being confirmed, but the principle holds: report a fault to the contact who arranged the rental, and replacement follows under terms being confirmed. On a batch, spares matter. Ask what happens if two machines fail in the same week.

Changes. Headcount moves. Adding units is an addition to the existing rental; extending is administrative if you flag it early.

Hand-back. Collected as one batch at the end of the period. The wiping process is being documented, if data handling is a procurement requirement, get it in writing at the start rather than at the end.
